1. Which board members will be resigning in accordance with current trust board rules that half the trust board will resign each year?

2. When will details of the nomination process be sent out?

3. When will election papers be sent out?

4. When will details of how to submit motions be published?

All Documentation has been sent to members on email and is being processed for the postal members.

Apologies to anyone who has not received the e-mail yet but I am currently co-opted to the Board and have not received it either! I suspect that this may be due to IT glitches but will raise with the relevant Board members to ensure that this is followed up as soon as possible. In the meantime a draft discussion document has been posted elsewhere on the Forum ahead of the AGM. If anyone would like to raise any issues relating to this or the forthcoming AGM then I will be in the Trent Navigation from 2.00 pm before the game tomorrow and will be happy to discuss in a positive and open manner with anyone who wants to talk to me.

Apologies to those expecting to receive emails with supporting documentation for the AGM.

Unfortunately we are experiencing IT issues with our automated Email system which is incorrectly reporting that the emails have been sent.

We are working to resolve the problem and looking at alternative methods to enable all email members to receive the information ASAP.

Here's what I got:
Supporters Ltd will be held at the County Suite, Notts County FC, Meadow Lane,
Nottingham, at 7:30 pm on Thursday 29th October 2009 to transact the following
business:-
1. To receive and approve the Minutes of the 2008 Annual General Meeting.
2. To receive and consider the Accounts, Balance Sheet, Auditors’ Report and
the Report of the Society Board.
3. To elect the Board Members of the Society Board in place of those retiring
(please see attached Note 1).
4. To re-appoint Smith Cooper as auditors at a fee to be agreed by the Society
Board.
5. To consider any Motions submitted by the Society Board or by members. The
Board intends to submit a Motion or Motions relating to the future direction of
the Trust and a draft paper is included with this notice. See Also Note 2.

This notice is being sent by e-mail to those who have asked to receive
communications by e-mail and by post to others. There is a possibility of a postal
strike in the period up to the AGM. In the event, please consult our website and/or
the Evening Post. If anyone receiving notices by post can and wishes to receive
them by e-mail, please contact secretary@nottscotrust.org.uk with details.
Note 1
In accordance with Society Rule 64, the elected members of the Society Board who have served for
two years retire at the AGM. Retiring or resigned members may seek nomination for re-election to the
Board. 7 elected positions are now proposed to be filled.
The following members have served two years and thus retire:
Margaret Cobb, John Collin
The following member elected last year will continue for one further year until the next AGM:

Note 2
1. Motions must include the name, address and membership number of one proposer and three
seconders. A telephone number and/or email address for the proposer is also required in
case the Secretary needs to contact them.
2. The proposer and seconders must be full members of the Trust at the time of the submission.
Motions must also be submitted with any supporting documentation. This should include
some information as to why the motion is being proposed and why it should be supported by
members. Documentation could also include diagrams, plans, maps, spreadsheets and
anything that is relevant to the motion that will help members decide how to vote.
3. The Trust Secretary will decide if the motion is in order. Their decision is final.
4. The proposer of the motion must be present at the AGM to formally propose the motion. If
there is a debate on the motion the proposer will have a final right of reply before the vote is
taken.
5. Motions should be submitted in writing to; The Secretary, Notts County Supporters Trust,
Notts County FC, Meadow Lane, Nottingham, NG2 3HJ.
6. In order to ensure that they are valid and to allow time for assistance to proposers, Motions
must be received by 4.30 p.m. on 11th October 2009.
Proxies
In accordance with Society rules, members who cannot attend the meeting in person may appoint a
proxy to vote at the meeting on their behalf. Further details and forms of proxy will be sent out before
the AGM together with details of any motions submitted and nominations for election to the Board.
