To whom it may concern,

Should members have received some documentation regarding the AGM? I have e-mail access and haven't received anything.

The meeting is after all next week ... it would be nice to see if we are being asked to consider any motions or candidates for the Board.

In addition will any contingency plans be put in place due to the expected industrial action with Royal Mail?

I have just recieved my notification of the AGM.

Would you please answer the following questions ASAP.

1) You state there will be no postal ballot but a vote at the AGM. Do you think this is unfair on the members that will not be able to attend?
2) You state that the documents referred to in the agenda are available. I cannot see any documents relating to Accounts or the Officers report.
3) You have a FOR/AGAINST for each candidate to be elected to the Trust Board. If the votes are positive then does that mean they are elected? How does this style of voting actually work?

I would appreciate answers, as I am sure other members are, ASAP since the AGM is only 8 days away.

Dave,

We are still having difficulties with the email system but all emails and postal information has been sent. Information is also available on the Trust website.

Postal information was sent in good time to avoid industrial action by Royal Mail.

Barry,

Thank you for your questions.

1) As there are fewer applicants than available positions there is no need for a postal ballot as set out in our rules by SD.

2) We are awaiting a report from the auditors and subsequent officer’s reports which will be available shortly.

3) If the vote is in favour of the applicant then that person would be elected to the Trust Board.

Just 2 more questions:

1. Will the auditor's report, accounts, officer's reports etc be available online before the AGM?
2. Is it possible to ask questions of the Trust Board at the AGM via e-mail?

I notice the reports are still not available and the AGM is tomorrow.

This now leaves me no time to put my proxy vote in the post for someone to vote on my behalf.

Would it be possible to scan my form in and email it to the trust for the chair to vote on my behalf?

I would expect the documents to be availble by the close of play today - if they are not available now then you have to ask the question why not? The meeting is only tomorrow and surely you would have your auditors report, accounts, officers reports completed by now?

All documents have now been uploaded to the Trust Website.

If you would like to email any questions they will be most welcome.

Barry,

If you would like to email your documents I will check the validity of this with the secretary.

Reports have only been with us within the last 24 hours. We have only very few Board members who have had to multitask in order to bring the whole AGM requirement together. We have for several months been requesting additional help with a view to increase efficiency and take the Trust forward.

I appreciate the hard work you have put in to bring the documentation together.

Will Margaret also be uploading an officer's report about her PR role?

Why is there no mention of the Trust's relationship with Munto Finance in the officer's reports?

From past experience of Trust AGMs it has been usual for former elected Board members to be contacted to provide a brief report too and/or assist the person writing their individual report. Given the numbers of people that stepped down from the Board I was interested in reading the perspectives of others that have been on the Trust Board for the majority of the last year. After all they are elected and are accountable to the membership.
